Why “find and replace” is not enough for Word files
The usual method is slow and risky. You search for a name, replace it, and hope you caught every spelling. You forget the phone number in the footer or the IBAN on page nine. One miss is enough to leak the person you were trying to protect.
ONYRI scans the whole document in one pass with about forty detectors. It finds values by their shape, not by a list you have to write first. An IBAN is found because it is an IBAN, wherever it sits.
Because the work is done in your browser, the draft contract or the HR letter never travels. There is no upload, no copy in a cloud queue, no retention period to worry about. You share only the masked result.
What you should know before you share the file
- Only .docx files are supported. Save older .doc files as .docx first.
- The masked copy is a flattened PDF, not an editable Word file. This is on purpose: no tracked changes, comments or hidden text can travel with it. Keep your original for editing.
- Detection is rule-based and not exhaustive. Unusual names or internal code names can be missed. Read the preview and add them by hand.
- Token mode is pseudonymization, not anonymization in the legal sense. Anonymizing a document reduces exposure. It does not guarantee GDPR compliance on its own.
Anonymizing Word documents: frequent questions
Do I get a Word file back?
No. You get a flattened PDF that looks like your document. A flat file cannot carry tracked changes, comments or author metadata from the original, which are common sources of leaks in Word files.
Are tables, headers and footers covered?
ONYRI reads the text of the document body, including tables and lists. Check the preview for headers and footers, and use “Also mask” for anything that remains visible.
Can I keep the text readable for a reviewer or an AI tool?
Yes, with token mode on the Pro plan. Each value becomes a label such as [NAME1] or [IBAN1]. The reader still follows who does what, without learning who the people are.
Is the document sent to ONYRI?
No. Reading, detection and masking run in your browser. Our servers store your account and your detection settings only, never your documents.
Can I teach ONYRI our own confidential terms?
Yes. In Detection settings you can add custom rules, for example a project code or a client list, and group them in profiles. The Free plan includes 3 custom rules; Pro has no limit.
