Should you hide your signature before sharing a document?
A visible signature can be copied onto another page, and a digital one carries hidden certificate data. Here is when to keep it and when to cover it.
A signature on a document is not just ink or a picture. It can prove you agreed to something, and someone can lift it and paste it onto another paper. So the real question is not whether to hide every signature. It is when a signature must stay, and when it should go before you share the file.
What does a visible signature actually reveal?
A handwritten signature is a small image of your name, drawn in your own hand. Anyone who has a clear copy of it, even from an old contract, can cut it out and paste it onto a different page. Initials work the same way, and they often repeat on every page of a long contract.
A company stamp adds the same risk. It usually carries a registration number or a full legal name, like Example Trading SAS. Picture Jane Example, who signs delivery notes for her employer. If someone copies her signature from an old note, they can attach it to a document she never saw.
- Your exact handwriting or company stamp, ready to paste onto another document
- The full legal name of your company, next to a signature that looks authentic
- Proof that you personally handled a specific paper, on a page you did not choose
Electronic signature or digital signature: what is the difference?
In the European Union, an electronic signature can be as simple as a typed name at the bottom of an email. England and Wales agree. The Law Commission says a document is validly signed if the signer intended to authenticate it and the usual formalities are met. Typing your name, ticking an 'I accept' box, or even a SWIFT message header can count.
PDF tools use a stronger version, usually called a digital signature. It rests on a certificate. Per Microsoft's technical documentation, a certificate binds a public key to a person or an organization. Open the certificate panel in your PDF reader and you can often see who signed, and sometimes which company issued it. In the EU, the strongest level is a qualified electronic signature. Germany's trust authority, the Bundesnetzagentur, says it carries the same legal weight as a handwritten signature, under Article 25 of the eIDAS regulation.
Why does editing a signed PDF break the signature?
A digital signature is not just a picture stamped on the page. It locks the exact bytes of the file at the moment of signing. Microsoft's support documentation says a valid signature confirms that the content has not been changed or tampered with since it was digitally signed. Draw a black box over that signature, or over anything else on the page, and those bytes no longer match. The file no longer checks out as the one that was signed, so readers mark the signature invalid or incomplete.
When should a signature stay visible, and when should it go?
There is no single rule for every document. It depends on who receives the file, and why they need it.
- A contract or agreement the other party may need to enforce later
- A filing sent to a court, a notary, or a government office
- Any document where the signature itself is the proof being requested
- A contract used as a sample or a training template
- A page you publish on a website or in a slide deck
- A file you send to a translator, a printer, or an AI tool that does not need to know who signed
What happens to a signature on a scanned document?
On a scanned page, a signature is only pixels, like a photo. Text search and most detection tools read printed or typed characters, not ink. So a search for a name will not find a signature next to it, and optical character recognition, OCR, will not read handwriting either. In a long contract, initials often sit in the corner of every single page, not only on the last one.
ONYRI Sanitize does not detect signatures on its own. Almost no automatic tool does. Its Draw an area tool lets you trace a box over a signature, initials, or a stamp on any page. Then you export a new flattened file, and nothing under that box survives. The limit: the masked copy is no longer a signed document, and it cannot prove anyone agreed to anything.
What should you check before you share a signed document?
Before you send a signed document anywhere outside your own team, run through this list.
| Element | Where it hides | How to handle it |
|---|---|---|
| Handwritten signature | Anywhere on the page, sometimes more than once | Cover the pixels with an opaque box, then export a new flattened file |
| Initials | The corner of every page in a long contract | Check each page, not only the signature page |
| Company stamp or seal | Near the signature block | Cover it the same way as the signature |
| Certificate details | A separate panel in the PDF reader, not printed on the page | Cannot be edited without breaking the signature. Remove the whole signature field instead. |
| Signature date | Next to the signature, or inside the certificate panel | Covered along with the signature itself |
| Document metadata (author, company name) | File properties, not visible on the page | Clear it in your PDF or Word app before you export |
None of this is legal advice. If a court, a bank, or a contract clause requires a signature to stay, ask the institution or a lawyer before you remove anything. When in doubt, keep the original safe and share a clearly marked copy instead.
Frequently asked questions
Do I have to keep my signature visible when I share a document?
Only when the recipient needs proof that you agreed to something, such as a contract, a filing, or a request from an authority. For a sample, a template, or a page you publish, covering the signature is usually safer. It is one less piece of your handwriting circulating outside your control.
Does covering a signature break a digitally signed PDF?
Yes. A digital signature locks the file at the moment of signing. Microsoft's documentation confirms that a valid signature means the content was not changed afterward. Cover any part of the page, including the signature, and the file no longer matches what was signed. Readers will then show the signature as invalid or incomplete, not as still valid.
Can a search or OCR tool find a signature on a scan?
No. A signature on a scanned page is an image, not text. Search tools and optical character recognition read printed or typed letters. They cannot see handwriting the way they see a word. That is also why initials, stamps, and photos need to be covered by hand, page by page.
Is a masked copy of a signed document still legally valid?
No, and it should not be presented as one. Once a signed PDF is modified in any way, its signature check fails. Treat a masked copy as a version for reading or discussion only, and always keep the original, unmodified file as the real record.
